Why leads go cold
Leads do not go cold. They get forgotten, in six common places. Most businesses have at least four of them, and none are fixed by working harder.
Enquiries land in an inbox
Your contact form emails someone, and that email sits under twenty others. By the time it is opened, the person has booked with whoever replied first.
Nobody owns the follow-up
With no routing rule, every lead is everyone's job and therefore nobody's. Two people chase the same one while four get chased by no one.
Follow-up stops after one attempt
One email goes out, gets no reply, and the lead is written off. Most deals need several touches over days or weeks, and nobody has time to do that by hand.
Every channel is its own island
Website form, WhatsApp, Instagram messages, missed calls, ad leads. Five places to check, no single list, and no way to tell which channel produces customers.
No idea which leads deserve your time
A serious buyer with a budget and a casual browser get the same treatment, because nothing is scoring them. Your best hours go to the wrong conversations.
No numbers when you need them
How many enquiries came in last month? What share closed? Which source paid for itself? If the answer means scrolling an inbox, you cannot make a decision from it.
What every AI CRM integration project includes
- One list for every channel. Website forms, live chat, WhatsApp, Instagram, missed calls and ad leads all land in the same place, tagged with where they came from.
- AI qualification and scoring. Each enquiry is read, summarised in one line and scored against what a good lead looks like for your business, so your team opens the right one first.
- Routing with an owner. Rules by service, location, value or availability assign every lead to a named person with a response deadline, and escalate when it is missed.
- Follow-up that persists. Multi-step sequences over email and SMS that keep going until the person replies or books, then stop the moment they do.
- Pipeline and reporting. A board showing every deal by stage, and a dashboard showing how many enquiries came in, what share closed and which source paid for itself.
- Documented handover. Every automation written down in plain English, recorded walkthroughs and a live session with your team. Accounts stay in your name, not mine.
Works with what you already have
I build inside HubSpot, GoHighLevel, Zoho, Pipedrive or Salesforce. WordPress, Shopify, Webflow, Wix and plain HTML forms all connect, as do WhatsApp, Instagram, Facebook, Google Ads lead forms and call tracking. If something cannot connect, you hear that on the first call, not halfway through the build.
AI CRM integration packages and pricing
One price, agreed in writing before anything is built. No hourly billing and no scope creep.

What you pay outside this
The CRM platform is billed by the vendor, not by me, and you pay it directly in your own account. HubSpot has a usable free tier, and if you do not have a CRM yet I will tell you when the free tier is enough.
How an AI CRM project runs
Timelines are in the table above, and the clock starts when I have access to your accounts. You keep the keys throughout.
- Map what happens now. Where enquiries arrive, who touches them and where they stall, drawn on one page so you can see the leaks before we fix them.
- Pick the platform. If you already pay for a CRM, we use it. If not, I recommend one based on your team size and budget.
- Connect the channels. Forms, chat, calls, ads and social wired into one list, each lead tagged with its source so the reporting means something later.
- Build the automation. Scoring, routing, sequences and escalation, tested against real enquiries rather than switched on and hoped for.
- Train and hand over. Plain English documentation, recorded walkthroughs and a live session with your team. Accounts in your name from day one.
Where AI CRM automation fits
It pays off fastest where a slow reply loses the job.
- Law firms: every intake form, call and chat logged, scored and followed up instead of waiting in an inbox. See CRM and intake automation for law firms, and the San Diego law firm case study for a site with CRM capture and automated 24/7 follow-up.
- Home services: missed-call recovery, no-show follow-up and booking automation for trades that live on the phone. See systems for home services businesses and the Grill Clean Up website build.
If your enquiries come in through chat, an AI chatbot trained on your business can qualify them and push them straight into the CRM. If they come from paid campaigns, AI digital marketing feeds the same pipeline.
